National Booking Coordinator – Ocean Imports – Richmond, BC


Salary range is between 60K – 65K + profit-sharing + RRSP and full benefits

Our client is a very well established Freight Forwarder, globally.

This position has national responsibility for coordinationg space allocation and bookings with ocean carriers.

Responsibilities:

  1. Receive and analyze every space request from CA OPS TEAMS
  2. Send space request report to USA team every day at 3pm
  3. Inform CA Ops Team of the daily updates received from USA team confirming the space approval, rejections.
  4. Monitor the feedback received from CA OPS Teams on every approved space request.
  5. Follow up with CA OPS Teams and check if any booking # received from origin has been updated
  6. Communicate directly with origin offices if booking number is not provided within the next two business days after having provided the space confirmation, keeping in copy the CA OPS Team involved in the shipment.
  7. Communicate with USA Team in case we need support either pushing on releasing booking or any other issues our origin offices are facing.
  8. Coordinate and communicate closely with Procurement Manager for any unresolved issue that needs to be escalated to Carrier and Regional Team.
  9. In case of unused space. Coordinator will send an Alert message to CA Sales team and CA OPS to find a replacement and avoid dead freight penalties.

Other tasks:

  1. Saving vessel schedule report in SP tool provided by USA every week. This will be a guidance to CA OPS Teams when defining the space request.

FAK Import Canada Asia allocation

  1. Check weekly carrier utilization report versus CA allocation and send them via email to CA OPS Team/Sales CA Team.
  2. Update and track the weekly CA FAK allocation report and our performance and identifying the unused allocation to Procurement Manager.
  3. Coordinate and communicate closely with Procurement Manager for any unresolved issue that needs to be escalated to Carrier and Regional Team.

Transpacific Buying rate compilation

  1. Saving updated Carrier contracts, arbitraries and surcharges in appropriate folder
  2. Calculating and maintaining every 2 weeks the FCL rates and ALL in rates calculation from regular Asian ports to Final ports and Rail Terminal IPI across Canada
  3. Update the Transload rates and All in rates in TPAC buy compilation.

The successful applicant should have:

  • Prefer 5 Years minimum of Ocean Imports experience in freight forwarding in Canada
  • Knowledge of Ocean Import documentation and procedures
  • Fluent communicator in English, written and spoken
  • Excellent Excel spreadsheets experience
  • Fast learner with a keen eye for detail; accurate and thorough; well organized.
